Speakloom — Privacy Policy
Speakloom ("Speakloom", "we", "us", or "the app") helps you record, upload, transcribe, and summarize spoken and written content into notes using AI. This Privacy Policy explains what we collect, why we collect it, who we share it with, and the choices you have.
By using Speakloom you agree to this policy. If you do not agree, please do not use the app.
Information we collect
Content you provide
- Audio you record or upload (voice recordings, audio/video files) so we can transcribe it.
- Documents and text you upload or paste (e.g. PDFs, typed notes) so we can summarize them.
- Links you submit (e.g. YouTube or meeting URLs) so we can process the referenced content.
- Transcripts, summaries, action items, and notes generated from the above.
- Messages you send to the in-app AI chat.
Account information
- Your email address, and your name and profile photo if you sign in with Google.
Purchase information
- Subscription and purchase history for Speakloom Pro (processed by Google Play Billing; we do not receive or store your card details).
Usage and diagnostics
- Free-tier usage count, app settings, and preferences.
- Crash reports and analytics to keep the app stable and improve it.
How we use your information
- To provide core features: transcription, AI summaries, AI chat, and translation.
- To store and sync your notes to your account and cache them on your device for offline use.
- To manage your subscription and enforce free-tier limits.
- To diagnose crashes, prevent abuse, and improve the app.
We do not sell your personal information, and we do not use your recordings, transcripts, or notes to train our own advertising profiles.
Service providers we share data with
We share data only with providers that process it on our behalf to deliver the app, under their respective terms:
- Google Firebase (Authentication, Cloud Functions, Firestore, Cloud Storage, Crashlytics) — sign-in, secure storage of your notes, backend processing, and crash reporting.
- Google Gemini API (via our secure backend) — processes your audio, documents, and text to generate transcripts, summaries, chat replies, and translations.
- Google Play Billing — processes subscription payments.
All data transfers occur over encrypted connections (HTTPS/TLS).
Data storage and retention
Your content is stored in Google Firebase (Cloud Storage and Firestore) scoped to your account, and cached locally on your device for offline access. We retain your content until you delete it or delete your account. Purchase records may be retained as required by law (e.g. tax and accounting).
Your choices and rights
- Delete your account and all data at any time in the app: Account → Delete account. This permanently removes your profile, recordings, transcripts, and notes from our servers.
- Export individual notes as PDF or text from the note screen.
- Cancel your subscription anytime through Google Play; access continues until the end of the paid period.
- Depending on your region (e.g. EU/UK under GDPR, or California under CCPA/CPRA), you may have rights to access, correct, export, or erase your data. You can exercise most of these with the in-app tools above, or by contacting us.
Sensitive content
Recordings may capture other people or sensitive discussions. Only record where you have the legal right to do so and the consent of participants where required. AI-generated transcripts and summaries may contain errors — please verify important information before relying on it.
Children
Speakloom is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect data from them.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, an in-app notice.
